Questions from Webinar

Q: Our firm uses a distribution email ([email protected]) for the correspondence email. Should an account be created for this email to use all the new functionality of the platform?
A: If you use that email as representative email, yes! You can create the WIPO account and have one person manage it and share the different access rights with colleagues.

Q: How does a paralegal access the records under the attorney’s email address.
A: The attorney should share the trademarks with the paralegal, or the paralegal can request access through Find and Monitor.

Q: Is there a way to do a search by representative ?
A: Yes for sure, you can go in advance search in Madrid Monitor and you can search by Rep. You can do City, State, Country etc.

Q: What happens if we don’t add an email address by the Nov. 1 date?
A: If you don’t add an email address by Nov. 1, any request without one will be considered irregular and won’t be processed until you provide it.

Q: If I create the account first, will the ‘no email address found’ be rectified? Or, even after creating the account, this issue happens?
A: No, you will have to request to add the email if there is not any currently.

Q: Do all owners have to proactively add an email if you find there is not one, or can you do it at the next renewal?
A: We would recommend you do it proactively using eMadrid.

Q: Irregularity notices are for discrepancies in the application itself, right? Not office actions?
A: Correct, but there could be instances with some countries where there is a minor deficiency that could be resolved through a response to WIPO directly. That’s why the possibility exists. The rule of thumb is to always follow the instructions in the irregularity letter in any case.

Q: When using the share with connections feature, will a single share operation affect exactly one registration, or can it affect several at one time?
A: You can share trademarks in bulk but you will have to give the same rights for all of them

Q: To monitor marks, we’ll have to manually log in to eMadrid to check deadlines and notices?
A: Yes, you will not receive emails, you need to check eMadrid.

Q: Are the Smart Alerts available now or not until Nov 1?
A: They are available.

Olivier Pierre, Associate Public Education Officer, Brands & Designs Sector at WIPO
Olivier Pierre joined the World Intellectual Property Organization (WIPO) in 2015. Currently, he coordinates public education initiatives in the Madrid Information and Promotion Division, Madrid Registry, Brands and Designs Sector. In this role, Olivier organizes and hosts webinars in multiple languages, along with various other communications initiatives, to assist users in optimizing the Madrid System for managing their international registrations. Before joining WIPO, Olivier managed marketing and communications projects in the private sector. His experience includes working for a luxury watch brand within the Richemont Group and a sustainability consulting service of DuPont, focusing on the European, Middle East, and Africa region. Olivier holds a Master’s degree in International Relations from the Graduate Institute of International and Development Studies in Geneva.

Aida Lumbreras Higuera, Young Expert in Communication, Brands & Designs Sector at WIPO
Aida Lumbreras Higuera joined the World Intellectual Property Organization (WIPO) in 2021. She is a young professional with experience in communication and customer experience. In her current role, she organizes and delivers webinars and develops digital communications, such as marketing email campaigns and social media content, to promote the Madrid System. Previously, she managed survey design and promoted good customer experience practices across the organization. Before joining WIPO, Aida worked as a journalist in both press and radio for several Spanish media outlets. Aida holds a Master’s degree in Political Communication from University of Amsterdam (The Netherlands) and a Bachelor’s degree in Journalism from the University of Zaragoza (Spain).
